Thank you for choosing Cyfair Elite for your athlete's AAU journey. We are committed to developing these young athletes into competitive, hard-working, respectful individuals both on and off the court. We've included a few of our operational policies and procedures below, followed by an online registration form and one-time $75 membership to join our program. The registration form will include an acknowledgment and agreement to our program terms. Please read through each policy and direct any questions to your local director.
FINANCIAL COMMITMENT

Player registration form and fee must be submitted online prior to attending practice or receiving uniforms.

Team fees are assessed per player for the balance of the 2026 season.

Payment schedule is viewable via TeamSnap. Fees are due based on the schedule selected during registration

All payments must be made electronically through TeamSnap automatic payment process

Fees do not cover travel expenses (airfare, hotel, ground transportation or meals) for players or parents

This commitment binds your financial obligation to participate with CyFair Elite for the existing season. This commitment concurs the responsibility to pay the entire season fees. Please know once you commit to a team, we incur several expenses whether you continue your season with the club or not, it is your responsibility to make sure these payments are made.

In the event that a player suffers a season-ending injury, the parent or guardian must consult with the directors to determine the appropriate amount of dues incurred to date for the athlete.
REFUND POLICY & non-payment resolution

CyFair Elite incurs fees for gym rentals (practice/training), uniforms, uniform print, backpack embroidery (spring/summer only), coaches, tournaments, equipment, and CyFair Elite organization insurance. Collected player fees go towards covering these items. There will be no refunds at any time during the season. This includes but is not limited to COVID-19, injury, moving, natural disasters, etc. Team credits can be offered at the discretion of the director. If a player suffers a season-ending injury, the parent or guardian must consult with the directors to determine the appropriate amount of dues incurred to date for the athlete

Electronically acknowledging this policy during your player registration is your acknowledgement and acceptance of our No Refund policy. After agreeing to participate on a CyFair Elite team, you will be responsible for the financial commitment for the entire season.

If you carry a balance for more than 30 days in arrears on your account and have not made prior payment arrangements to bring your account current, your child will not be allowed to practice/ participate in games until the balance is brought current or payment arrangements have been established in writing. Once arrangements are established, if you are at any time in default of the payment arrangements, CyFair Elite holds the right to suspend your child from practice, games and tournaments until your account is brought current. Nonpayment of fees can result in legal action to collect unpaid balance.

All monies that are paid are non-refundable. You agree to pay the total amount due for the season.

LIABILITY RELEASE

All CyFair Elite participants or their guardians (in the case of minors) must sign or initial this waiver of liability during their registration process to limit the school’s exposure to claims. This waiver clearly outlines the assumption of risk for participation in sports and related activities.

CyFair Elite will not be held responsible or liable for injuries sustained by players and participants during practices, games, tournaments, or travel. While we understand that this is a contact sport and injuries are part of the game, it is the players' responsibility to cover any costs associated with individual injuries.

Our partner facility and schools will not be liable for any injuries or damage sustained by participants, spectators, or staff during CyFair Elite use of the facilities.

CyFair Elite and their participants agree to indemnify and hold harmless our facility rental partners, including but not limited to The British International School of Houston, Victory Sports Center, and Empowering Others Prep, along with its employees, agents, and representatives from any claims, actions, damages, liabilities, or expenses arising from or related to the activities conducted during the rental period.

Adherence to School Rules: CyFair Elite and its attendees must strictly adhere to all School policies and guidelines, including but not limited to:

Prohibition of alcohol, drugs, and tobacco use on School premises.

No Pets Allowed inside the school/gym/common area.

Restricted access to areas not included in the rental agreement.

Compliance with parking and traffic management rules. Do not park in the Fire Lane.

MEDIA RELEASE & Consent

CyFair Elite Basketball regularly photographs and records practices, games, tournaments, tryouts, camps, clinics, training sessions, team activities, special events, and other organization-related activities for promotional, educational, informational, and marketing purposes.

By reading and acknowledging this Media Release & Consent on the registration form, I authorize CyFair Elite Basketball, including its directors, coaches, staff, representatives, affiliates, contractors, photographers, videographers, and authorized partners, to photograph, film, record, and otherwise capture the image, likeness, voice, and athletic participation of the participant identified below.
USE OF PHOTOS, VIDEO & OTHER MEDIA

I grant CyFair Elite Basketball permission to use, reproduce, publish, display, edit, distribute, and share photographs, video recordings, audio recordings, digital images, and other media featuring the participant for legitimate organizational, promotional, and marketing purposes.

Media may be used in, but is not limited to:

CyFair Elite Basketball websites and landing pages

Social media platforms, including Instagram, Facebook, TikTok, YouTube, X, and other current or future platforms

Marketing and promotional emails
-
Digital newsletters and organizational communications

Online and digital advertising
-
Printed flyers, posters, brochures, banners, and promotional materials

Team and program announcements
-
Tryout, camp, clinic, tournament, and event promotions

Recruiting and player-development communications
-
Highlight videos, reels, graphics, and promotional content
-
Presentations, press releases, media features, and community outreach materials
-
Other communications reasonably related to promoting CyFair Elite Basketball, its teams, programs, athletes, events, sponsors, and activities
USAGE RIGHTS

Media featuring the participant may be edited, cropped, combined with graphics, text, music, logos, or other content, provided the use is not intentionally misleading or defamatory.

The participant's image or likeness may appear individually or as part of a team, group, event, or organizational activity.

CyFair Elite Basketball is not required to notify me or obtain additional approval before using authorized media.
-
I understand that media published online or through social media may be viewed, copied, shared, reposted, or distributed by third parties outside the control of CyFair Elite Basketball.

I understand that neither I nor the participant will receive compensation, royalties, or other payment for the authorized use of these photographs, videos, recordings, or other media.

CyFair Elite Basketball may retain and use previously created photographs, videos, and other media for future organizational and promotional purposes.

This authorization applies to media captured during CyFair Elite Basketball-sponsored or affiliated activities, including practices, games, tryouts, camps, clinics, tournaments, training sessions, team events, community events, and related programming.
RELEASE & CONSENT

To the extent permitted by applicable law, I release and hold harmless CyFair Elite Basketball and its directors, coaches, employees, representatives, affiliates, contractors, photographers, videographers, and authorized partners from claims arising solely from the authorized use of the participant's image, likeness, voice, or appearance as described in this release.

This release does not authorize the use of the participant's image or likeness in an unlawful, defamatory, or intentionally misleading manner.
Lost or Damaged Gear

Uniforms will not be distributed to players until their player registration form and fee are submitted online.

If any of the gear (uniform, shooting shirt, backpack) is lost or damaged and need to be replaced before the end of the season you will be charged a $50 replacement fee for the uniform plus the cost of ordering the new gear.
